Privacy Policy

This policy explains what information we collect when you contact us through our website, our Facebook and Instagram forms, or our phone lines, how we use it, and the choices you have.

Section 01

Who we are

T98 Rehab & Chiropractic is a chiropractic and rehabilitation clinic serving the Austin area from three locations, led by Dr. Adam Tran. It is operated by Adam Anh Thach Tran Chiropractic, PLLC, a Texas professional limited liability company doing business as T98 Rehab & Chiropractic. In this policy, "T98," "we," "us," and "our" refer to Adam Anh Thach Tran Chiropractic, PLLC.

This policy covers the personal information we collect through our marketing channels: our website, the lead forms we run on Facebook and Instagram, and the phone and text lines we use to reach people who ask us to get in touch.

Important distinction

This is our website and marketing privacy policy. It is not our Notice of Privacy Practices.

Once you become a patient, the health information we create and keep as part of your care is protected health information under HIPAA, and it is governed by our separate Notice of Privacy Practices, which you can read at www.t98rehab.com/patients/ and which we provide at your first visit. Those are two different documents covering two different things, and neither one replaces the other.

Section 02

Information we collect

We only collect what we need in order to call you back and get you scheduled. In practice, that comes from three places.

Information you give us directly

When you fill out a form on our website, or a lead form on our Facebook or Instagram ads, you give us:

  • Your name and phone number, so we can call or text you back.
  • Your email address, if you provide one.
  • Roughly when your accident happened, so we know how quickly to get you in.
  • Which of our three locations you prefer.
  • Anything else you choose to type into a message field, which is why we ask you not to include medical details there. See section 5.

Forms you submit on Facebook or Instagram are hosted by Meta and are filled in with information already on your Meta profile. Meta passes that submission to us, and from the moment we receive it, it is handled under this policy. Meta's own handling of your information is governed by Meta's privacy policy, not ours.

Calls and text messages

When you call us, text us, or we return your call, we keep basic records of that contact: your phone number, the date and time, whether we reached you, and short notes about scheduling. Some calls may be recorded or monitored for quality and training, and if that is the case on a given call you will be told at the start of it.

Information collected automatically when you visit our website

Like most websites, ours records standard technical information as you browse: your IP address, browser and device type, the pages you visit, the page that referred you to us, and how long you stay. We use this to understand which pages are useful and which of our ads are working. It is not used to build a health profile of you.

Section 03

How we use your information

We use what you give us for a short and specific list of purposes:

  • To contact you back. If you ask us to reach out, we call, text, or email you, usually quickly, because early evaluation matters after an accident.
  • To schedule and confirm appointments, including reminders, confirmations, and changes.
  • To answer your questions about our services, our locations, our hours, and how the insurance side works.
  • To provide care and handle the administrative side of it once you become a patient. Health information created during your care is handled under our Notice of Privacy Practices.
  • To measure and improve our advertising, so we know which ads and pages actually bring people to us.
  • To meet legal, regulatory, and recordkeeping obligations.

We do not use your information to make automated decisions about you, and we do not sell it. See section 6.

Section 05

What we do not collect on this website

This is deliberate, and it matters.

Our website forms and our Facebook and Instagram lead forms are built to collect only what we need to call you back and book you in. They do not ask for your medical history, your diagnoses, your symptoms, your medications, your insurance policy numbers, or your Social Security number, and you should not send us any of that through a website form, a social media message, or ordinary email.

Asking when your accident happened is a scheduling question, not a medical one. It tells us how urgently to get you in. It is not a health record.

Where your health information is protected

Health information you share with us during your care, in the clinic, on intake paperwork, or with our clinical staff, is protected health information under HIPAA. It is kept separately from our marketing systems, and it is governed by our Notice of Privacy Practices, available at www.t98rehab.com/patients/ and provided at your first visit.

We do not publish, share, or advertise using your health information, and we never use it to target ads. If you have a question about your treatment, your records, or your condition, please call us at (512) 614-2330 rather than writing it into a web form.

Section 06

How we share information

We do not sell your personal information, and we do not rent or trade it to anyone for their own marketing.

We share it only in these situations:

  • Service providers who work for us. Companies that run our forms, our scheduling and patient records, our phone and text service, our email, and our website hosting need access to do their jobs. They may use your information only to provide that service to us. This includes Meta, which hosts and processes the Facebook and Instagram lead forms before passing submissions to us.
  • Your insurance carrier or your attorney, where that is part of handling your claim and you have asked us to or authorized it.
  • Other healthcare providers involved in your care, as permitted under HIPAA and described in our Notice of Privacy Practices.
  • When the law requires it, including a subpoena, a court order, a lawful request from a government or regulatory body, or where sharing is necessary to protect someone's safety or to establish or defend legal claims.
  • In a business transfer, if the practice is ever sold, merged, or reorganized. Information would move with it, and it would remain subject to a policy at least as protective as this one.
Section 07

Cookies and advertising technologies

Our website uses cookies and similar technologies, including small pieces of code from advertising and analytics companies. We want to be straightforward about what they do.

  • Necessary cookies make the site work: they keep pages loading correctly and help protect our forms from spam.
  • Analytics tells us how many people visit, which pages they read, and where they leave. We look at this in aggregate.
  • The Meta pixel and similar advertising tools tell us when someone who saw one of our Facebook or Instagram ads came to our site or submitted a form. That is how we know which ads are worth running. These tools can also mean you see our ads again on Facebook or Instagram after visiting our site.

These advertising tools work with general website activity such as page views and clicks. We do not send your medical information, your diagnoses, or anything from your patient record to advertising platforms, and we do not run advertising trackers on any password-protected or patient-only part of our systems.

How to limit this

You can control cookies in your browser settings, including blocking them or deleting the ones already stored. You can also adjust ad settings inside your Facebook and Instagram accounts, and many browsers offer a Do Not Track signal, though there is still no common industry standard for how sites should respond to it. Turning cookies off may make parts of our site work less well.

Section 08

Your choices and rights

You can ask us to:

  • Tell you what we hold about you and get a copy of it.
  • Correct it if it is wrong.
  • Delete it, where we are not required to keep it. Medical and billing records have their own retention rules that we cannot override.
  • Stop contacting you, by phone, text, email, or all three.

To make a request, call (512) 614-2330 or email info@t98rehab.com. We may need to verify who you are before we act, especially on a deletion request, so that we do not hand your information to someone else. We will not treat you differently for making a request.

Texas residents

The Texas Data Privacy and Security Act gives Texas consumers rights over their personal data, including rights of access, correction, deletion, portability, and the right to opt out of targeted advertising and the sale of personal data. Small businesses as defined by the U.S. Small Business Administration are largely exempt from the Act, and we believe we fall within that exemption. We honor the requests listed above regardless, as a matter of practice.

We do not sell personal data, including sensitive data. If you believe we have not handled a request properly, you may contact us first, and you may also file a complaint with the Office of the Texas Attorney General.

Rights over your protected health information, including the right to request an amendment or an accounting of disclosures, work differently and are described in our Notice of Privacy Practices.

Section 09

How long we keep information

We keep marketing and inquiry information for as long as we need it to answer you, to schedule you, and to keep an accurate record of the consent you gave us. If you never become a patient and ask us to delete your information, we will, apart from anything we need to retain to honor an opt-out request, since we have to remember not to contact you.

Patient records, including medical and billing records, are kept for the periods required by Texas law and by the professional boards that regulate our practice. Those requirements are described in our Notice of Privacy Practices and are not changed by this policy.

Section 10

Children's privacy

Our website and our advertising are directed to adults. We do not knowingly collect personal information from children under 13 through our website or our lead forms. If you believe a child has submitted information to us through one of these channels, contact us and we will delete it.

We do treat minors as patients when a parent or legal guardian arranges care and provides consent. That information is handled as part of the child's medical record under our Notice of Privacy Practices, not through this policy.

Section 11

Changes to this policy

We may update this policy as our practice, our technology, or the law changes. When we do, we will change the "Last updated" date at the top of this page and post the new version here. If a change materially affects how we use information we already hold about you, we will make a reasonable effort to tell you directly.

We encourage you to check this page before submitting a form if it has been a while since your last visit.
